1. Acceptance of Terms
By booking any tour or travel service with Three Elephants Travels, you agree to these Terms & Conditions. We reserve the right to update these terms when necessary. Any changes affecting an existing booking will be communicated where applicable.
2. Booking & Payment Policy
2.1 Booking Confirmation
- A 25% deposit is required to confirm bookings made more than 30 days before the tour start date.
- Full payment is required for bookings made within 30 days of departure.
- Bookings are confirmed only after payment has been received, and a written confirmation has been issued by Three Elephants Travels.
2.2 Final Payment
- The remaining balance must be paid at least 30 days before the tour begins.
- Failure to complete payment may result in cancellation of the booking and forfeiture of the deposit.
2.3 Payment Methods
We accept:
- Bank transfers (local and international)
- Secure online credit/debit card payments
- Cash payments by prior arrangement
Any bank charges, currency conversion fees, or card processing fees are the responsibility of the client.
3. Pricing & Currency
All tour prices are quoted in Australian Dollars (AUD) or United States Dollars (USD) as specified.
Prices are based on supplier costs, exchange rates, taxes, and operational expenses at the time of quotation.
Prices may change due to:
- Exchange rate fluctuations
- Fuel price increases
- Government taxes
- Third-party supplier price changes
Once full payment has been received and confirmed, your tour price is fixed.
4. Cancellation Policy
Client Cancellations
Notice Before Tour Refund
More than 30 days - Full refund less a 5% administration fee
15–30 days - 50% refund
7–14 days - 25% refund
Less than 7 days or No Show - No refund
Certain services, such as train tickets, safaris, permits, or special event tickets, may be non-refundable once confirmed.
Cancellation by Three Elephants Travels
If we must cancel a tour due to circumstances beyond our control, including natural disasters, political unrest, or other force majeure events, clients may choose:
- A full refund
- A travel credit
- An alternative itinerary or travel date
5. Flights
International airfare is not included unless specifically stated.
Clients are responsible for:
- Booking international flights
- Providing flight details at least 30 days before arrival
Upon request, we may recommend trusted flight booking agencies. However, we are not responsible for airline schedule changes, cancellations, or related issues.
6. Travel Documents & Visa Requirements
Travellers are responsible for ensuring they possess
- A valid passport with at least six months' validity
- Any required visas or travel authorisations
- Other documentation required by immigration authorities
Visa requirements vary according to nationality. We recommend checking the latest entry requirements before travelling.
7. Accommodation
Accommodation is subject to availability.
If a listed hotel becomes unavailable, we will provide accommodation of a similar or higher standard whenever possible at no additional charge.
Unless otherwise stated:
- Prices are based on twin or double occupancy.
- Single, triple, and family rooms may incur additional charges.
- Standard hotel check-in is from 2:00 PM.
- Standard hotel check-out is by 11:00 AM.
- Early check-in and late check-out depend on hotel availability.
Guests are responsible for complying with hotel policies and for any damage caused during their stay.
8. Children & Infants
General guidelines:
- Infants (0–2 years) may travel free when sharing existing bedding with parents.
- Child pricing varies depending on accommodation and tour arrangements.
- Some excursions may have minimum age requirements.
Parents or guardians remain fully responsible for supervising children throughout the tour.
9. Health, Safety & Travel Insurance
Clients should inform us of any medical conditions, allergies, disabilities, or dietary requirements before travel.
We strongly recommend comprehensive travel insurance covering:
- Medical emergencies
- Trip cancellation
- Trip interruption
- Lost or delayed baggage
- Emergency evacuation
Three Elephants Travels accepts no liability for losses that could have been covered by appropriate travel insurance.
10. Hotel Rules
Hotel facilities, layouts, room views, and amenities may differ between properties.
Photographs displayed on our website are for illustrative purposes only.
11. Liability
Three Elephants Travels acts as an intermediary between clients and independent service providers including hotels, transport operators, airlines, and activity providers.
We are not liable for:
- Personal injury
- Loss or damage of personal belongings
- Travel delays
- Third-party service failures
- Events beyond our reasonable control, including force majeure
12. Traveller Conduct
Travellers are expected to:
- Respect local customs and laws
- Follow safety instructions
- Treat fellow travellers, guides, and staff respectfully
- Avoid behaviour that disrupts the tour
We reserve the right to remove any traveller whose conduct places others at risk or significantly disrupts the tour, without refund.
13. Fitness & Participation
Some itineraries include walking, hiking, uneven terrain, or extended travel by vehicle.
Clients are responsible for ensuring they are physically capable of participating in their selected tour.
14. Governing Law
These Terms & Conditions are governed by the laws of Sri Lanka.
Any disputes arising from bookings or services shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
